Brand Asset File Naming System: Free Folder Template for Creators & Clothing Brands
A strong identity can still become difficult to use when the files behind it are scattered across downloads, DMs, email attachments and folders named “final-final-2.” This guide gives independent brands and creators a repeatable system for naming, storing and handing off creative assets.
The goal is simple: anyone opening the project should be able to identify what the file is, which version it is, where it belongs and whether it is approved without opening ten files first.

A file-naming formula that scales

Consistency matters more than the vocabulary. Avoid spaces, vague names and dates that do not explain the file’s purpose.
What each part should mean
Brand
Use one short, consistent brand identifier.
Project
Name the collection, campaign, release or client project.
Asset
Describe the deliverable: LOGO, WORDMARK, TEEBACK, COVER, STORY, REEL or BANNER.
Variant
Use meaningful differences such as BLACK, WHITE, STACKED, HORIZONTAL, FRONT or BACK.
Version
Use V01, V02 and V03 while work is active. Avoid “new,” “latest” or “final2.”
Status
Reserve WIP, REVIEW, APPROVED and ARCHIVE.
The five-file rule for every finished logo
Keep a master vector plus common delivery formats. A useful minimum is SVG, PDF, transparent PNG, a light-background version and a dark-background version.

Apparel artwork needs a separate production folder
Do not mix garment mockups with print-ready artwork. Keep approved print files in 02_APPAREL/02_PRINT_READY, and include garment, placement, intended dimensions and production method in handoff notes. Before production, use the Streetwear Sample QC Checklist.
Campaign exports: organize by destination
Separate vertical, square, landscape and web exports so nobody guesses which asset belongs where. Use the Creator Content Size Guide for a production-ready export system.
Approval checklist before moving anything to FINAL
- Correct artwork version
- Spelling checked
- Dimensions and aspect ratio checked
- Transparent background where required
- Production artwork separated from mockups
- File opens correctly
- Approval recorded
- Older versions archived

File organization is operational infrastructure. It reduces repeated exports, wrong-version mistakes and unnecessary back-and-forth when a designer, printer, photographer or collaborator joins a project.
