Clothing Brand Purchase Order Template: 20 Fields to Confirm Before Production
A clothing brand purchase order should remove ambiguity before money, materials and production time are committed. The goal is not to replace your tech pack. It is to create one clear commercial record of what is being ordered, in what quantities, at what agreed cost, under which version of the production specifications, and on what timeline.
For independent streetwear brands, a simple purchase order can prevent expensive mistakes such as the wrong size run, outdated artwork, missing labels, incorrect packaging or a quantity total that does not match the supplier quote.
Quick rule: the tech pack explains how the product should be made; the purchase order records what you are authorizing the supplier to produce.
The 20-field clothing brand purchase order checklist
Order identity and supplier information

PO number: create a unique reference such as
PO-2026-014. Never reuse the same number for a different production order. - Issue date: record when the purchase order was sent.
- Supplier name and contact: include the factory, printer, embroiderer or production partner plus the person responsible for the order.
- Billing and delivery information: confirm where invoices should go and where finished goods should be delivered.
Product and variant detail
- Style or product name: use the same naming convention used in your internal product files.
- SKU or style code: connect the order to your inventory system. If you do not have one yet, build it with the Clothing Brand SKU System Template.
- Colorway: write the exact approved color name or reference rather than shorthand that could be misunderstood.
- Size breakdown: list quantities by size instead of only writing the total quantity.
- Unit cost: record the agreed per-unit production cost for each relevant style or variant.
Production specifications
- Tech pack version: reference the exact approved file name or revision date. Use the Clothing Brand Tech Pack Checklist if the production file is still incomplete.
- Decoration or artwork reference: identify the approved print, embroidery, patch or other artwork file by name and version.
- Labels and trims: specify neck labels, woven labels, care labels, hangtags, size labels or other approved trims included in the order.
- Packaging: state the expected bagging, folding, stickers, inserts, carton markings or other packaging instructions that affect the delivered product.
Schedule and delivery
- Approval status: note whether the order is pending sample approval, approved for bulk production or subject to another checkpoint.
- Production start target: record the planned start point when one has been agreed.
- Completion target: record the agreed target completion or ready-to-ship date.
- Shipping plan and destination: identify the expected delivery method, destination and which party is responsible for arranging the shipment according to the agreement with the supplier.
Commercial totals and change control
- Additional charges: separately record setup, screens, digitizing, special packaging, freight or other agreed charges instead of hiding them inside an unexplained total.
- Order total and payment schedule: show the math and document the payment milestones or timing already agreed with the supplier.
- Approval and revision control: identify who approved the order and require quantity, specification, cost or schedule changes to be confirmed in writing before the PO is revised.
Use a size-run matrix instead of one quantity
A total order of 100 shirts is not enough information. The supplier needs the approved distribution across each sellable variant.

Line total = quantity × unit cost.
Merchandise subtotal = sum of all line totals.
PO total = merchandise subtotal + separately approved charges.
The numbers above are only a worked example. Your actual unit cost and size distribution should come from your supplier agreement, demand data and product plan.

Pre-send purchase order checklist
- The total quantity equals the sum of every size and color variant.
- Every SKU matches the product and size actually being ordered.
- The PO references the newest approved tech pack and artwork files.
- Unit costs match the latest accepted supplier quote.
- Labels, trims and packaging are explicitly included or excluded.
- Additional charges are visible rather than implied.
- Production and delivery targets are written in specific dates or clearly defined milestones.
- The shipping destination is correct.
- Payment timing matches what both parties agreed.
- A single person on the brand side owns final approval.
After the supplier acknowledges the PO
Save the acknowledged version in the same production folder as the approved sample photos, quote, tech pack and final artwork. If anything changes, create a revised PO instead of editing the original file without a record. That gives the brand and supplier a simple version history when questions appear later.
